How to write an invoice in Kenya
A clear invoice gets you paid faster. Include your business name and KRA PIN, the client's details, a unique invoice number, the issue and due dates, and a line for each item or service with quantity and price.
Do I need to charge VAT?
If your business is VAT-registered, you add 16% VAT to taxable goods and services and show it as its own line. Tick the VAT box above and the total updates. If you are not registered, leave it unticked. Confirm your own situation with KRA or an accountant.
What about eTIMS?
KRA requires many businesses to issue invoices through eTIMS. This tool makes a clean invoice layout you can send to clients, but it does not submit anything to KRA. Check whether you need to use an eTIMS-compliant system.
How should I ask for payment?
Put your M-Pesa Paybill or Till number, account name and bank details in the "How to pay" box. Use the invoice number as the account reference so you can match payments quickly.
