How to write a payment receipt
A receipt confirms that money has been paid. An invoice asks for payment; a receipt says it arrived. Issue one every time a customer pays, whether in cash, by M-Pesa or by bank transfer.
What to put on it
- Your business name, contact details and KRA PIN if you have one.
- The customer's name.
- The date and a receipt number.
- What was paid for, with quantities and prices.
- The payment method and, for M-Pesa, the transaction code. Use the "How to pay" box for this.
What is the difference between an invoice and a receipt?
An invoice is a request for payment sent before or at the time of sale. A receipt is proof of payment issued after money is received.
Do I need to use eTIMS?
Many businesses in Kenya are required to issue tax invoices through KRA's eTIMS system. This tool makes a clean receipt layout but does not submit anything to KRA, so check what applies to your business.
Can I use it for M-Pesa payments?
Yes. Add the M-Pesa transaction code in the payment box so both you and the customer can match the record.
